Hall Hire FAQ

  • Current GPSC members are able to hire the hall for private functions.
  • Charity and Nor For Profit Organisations may be eligible at the discretion of the GPSC Management Committee.
  • GPC may hire the hall for meetings / training days etc. during the day.

When can the hall be hired?

  • The hall may be hired for private functions at times other than our usual members opening times.
  • Members opening times are Wednesday 4pm – 7pm and Friday 3:30pm – 12pm.
  • Saturday nights are reserved for member hires.
  • Other days and times are available, however as many of our volunteer bar staff are also full time employees, this will be subject to availability.
  • The hall is unable to be hired on public holidays, Easter holidays and during the Christmas / New Year break.
  • The licenced hours of the club are 10am – 12pm Monday to Sunday

What events CANNOT be held at the hall?

  • 17 – 20 years of age birthday parties
  • Sporting Team Breakups
  • The premises are not for hire in any way to any group or individual for the financial gain of that group or individual including Sporting Bodies.

How can I make a booking?

  • Confirm the availability of the hall from the GPSC Bookings Calendar.
  • Complete the online booking form. At this time the booking will be marked as UNCONFIRMED– No Bond Paid.
  • Once the $500 bond payment is confirmed, the booking is secured.

What are the costs?

  • $500 refundable bond fee.
    • This will be returned as soon as possible after the function once confirmation of no damage has been obtained.
    • Any damages or extra cleaning costs will be deducted from the bond.
    • Damages that exceed the bond payment may require further payment and will need to be discussed with GPSC committee.
  • $150 cleaning fee.
    • Payment of the cleaning fee is to be made directly to the GPC cleaning contractor.
    • Details of payment type preference will be communicated by the cleaner.
  • $TBC – Tablecloth Laundry Fee
    • GPSC has a set of black tablecloths available for use.
    • Fee covers laundering of tablecloths.
    • Payable directly to cleaner.
  • Bar Staff – $38 / per person / per hour
    • If external (non GPSC) bar staff are required, GPC will pass this cost on to the hirer.

What facilities are available?

  • Kitchen & BBQ
    • The Kitchen & BBQ is available to user for all hirers.
    • Kitchen includes –
      • Microwave
      • Under bench fridge
      • 10 Tray combi oven and steamer
      • 2 basket fryer
      • 4 burner cooktop
      • Electric fryer
      • Urn
      • Bain Marie
      • Dishwasher
    • A cleaning fee may be deducted from the bond if the facilities are not left in a reasonable state of cleanliness.
  • Coffee / Tea
    • An urn is available to be used in the kitchen or in the hall.
    • Coffee, tea and paper cups are available.
    • Milk will need to be provided by the hirer.
  • Stage / Dance Floor
    • The stage area is able to be used by DJ’s and bands etc.
    • Stage lighting is controlled from behind the bar.
    • Music can be sent to the dance floor speakers from behind the bar, via Bluetooth.
  • Audio Visual
    • 7 televisions located in the eastern side of the hall.
    • 1 projector and large screen permanently installed.
    • All screens have the ability to display content from the GPSC laptop and AV gear.
    • Slideshows can be played from the GPSC laptop.
    • Music can be played from the GPSC laptop or via Bluetooth
  • Chairs & Tables
    • ~18 rectangular 6 seat blow mould tables for use.
    • ~120 blue and brown chairs are able for immediate use, a further 60 orange chairs can be requested ahead of the event.
    • Rectangular tablecloths are available but will require cleaning if used.
  • Pool Table & Darts
    • The pool table is available for use during functions.
    • The pool table hard cover and tablecloths must be used if the pool table is to be used as a serving station.
    • Darts and dart board are located on the western wall.

How do I access the hall to setup for my function?

  • Access to the hall outside of members hours is via a “Function Access” card.
  • The function access card can be collected from RGTCT security the day prior to the event.
  • This card allows access to the hall through the front door.
  • The building must be secured when no one is in attendance.
  • Instructions on securing the building are located at the internal card reader near the front door.
  • Function setup may occur during members opening times but exclusive access is not guaranteed until the day of the booking.
  • Cleaning may be required from the previous day, if early access is required advise the GPSC bookings team.
  • Return the card to RGTCT security after the function.

When do I need to vacate the building?

  • Last drinks will be called at 2330 for a 0000 closing time.
  • The hall should be returned to normal setup prior to leaving on the day of the function.
  • Special consideration may be granted if no functions are booked for the following day.

Can I bring my own food / caterer?

  • GPSC does not provide food as a service so an external caterer may be engaged to use the kitchen.
  • The kitchen appliances are gas operated and care must be taken to ensure the safe operation of gas appliances
  • GPSC does not maintain an inventory of cutlery and plates, these will need to be provided by the hirer.

What beverages are available?

  • GPC maintains a general stock of alcoholic and non alcoholic beverages as standard.
  • The beverage list is displayed on the digital signage and in hard copies at the bar.
  • This list can be requested by the hirer in advance.
  • Beverages not on the list can be requested given sufficient time before the event at the discretion of the GPSC Management Committee.
  • Special mixers (orange juice, milk, pineapple juice etc.) may be brought in by the hirer.

Can I bring my own wine?

  • GPSC maintains a standard wine list for purchase over the bar.
  • Members can bring own bottled wine without charge.
  • Bar staff will store and dispense or can be used as table wine.

Can I have a bar tab?

  • A bar tab can be run according to the conditions set out by the hirer at the commencement of the function.
  • Limits
    • Open – Bar tab is run without limit.
    • Limited – Bar tab is run to a predetermined limit and stopped.
  • Product Restrictions
    • Unrestricted – Bar tab is open to ALL beverages.
    • Restricted – Bar tab is only available to predetermined list of beverages.
  • Guest Inclusions
    • All Guests – Bar tab is available to ALL guests
    • Included Guests – Bar tab is available only to INCLUDED guests.
    • It is the hirers responsibility to have a way for the bar staff to identify who is included (wrist bands etc.)
  • Payment
    • Can be made by card through the cash register at the completion of the tab / function
    • Can be invoiced after the function is complete
